This policy explains how one recruiting firm handles personal information on this site and in its business email.

Affinity Search Partners is an IT and information systems recruiting firm. We place contractors, consultants, contract-to-hire staff, permanent hires and technology leaders with employers. Our postal address is 5115 Maryland Way, Suite 121, Brentwood, TN 37027.

The policy applies to this website and to the business emails our company sends and receives.

IIWhen and how we get in touch

We write to people at work, about work, and only when our services could matter to them.

The people we contact work at companies and hold roles connected to hiring or running technology teams. We reach them at their work email address, and now and then by phone or by letter to their business address. We make contact only when we believe our recruiting work could be relevant to that person's role, and we stop whenever someone asks us to.

Mostly business contact details and public business information; nothing sensitive.

• Business contact details, where available: name, job title, employer, work email address, business phone number and a link to a professional profile.
• Information about the company, such as its industry, size and location.
• Public business activity, such as job postings, news coverage and public posts.
• The results of checks that confirm a work email address can receive mail.
• Our correspondence with you and the notes we keep about it.
• Visits to this website. The site sets no cookies and runs no analytics. Our hosting provider keeps standard technical logs, and the service that supplies the site's font receives your IP address when the page loads.

We do not collect sensitive personal information, such as health, financial account or government identification details.

Public sources, business data vendors, and you.

• Public sources: company websites, job boards, news outlets and professional networking profiles.
• Commercial providers of business contact and company data.
• You, when you answer one of our emails, complete a form or talk with us.

To decide whether to contact you, to do so at work, and to respect your choices.

• To judge whether our services are likely to be relevant to you and your company.
• To contact you at work.
• To check that an email address is valid before we send to it.
• To answer you and, if you ask, to discuss or provide our services.
• To maintain our do-not-contact list.
• To keep our systems secure and to meet our legal obligations.

We do not track whether our emails are opened.

VIAsking us to stop

Any reply, in any words, is enough.

Reply to any email from us and tell us to stop, however you phrase it, or tell the person who calls you. We act on it promptly, and in every case within 10 business days. We then keep your name and address on a do-not-contact list so that you are not contacted by us again, whichever source your details later reach us from.

VIIWho we share it with

We never sell it; we share it only with those who help us run the business, or when the law requires.

We do not sell or rent personal information, and we do not share it for other companies' marketing or for targeted advertising. We share it only with:

• service providers working on our behalf, including email and mailbox providers, address verification services, business data providers, and hosting and storage providers, each allowed to use it only to provide that service to us;
• public authorities, where the law requires it or where it is needed to protect rights, property or safety;
• a buyer or successor of our business, which must keep to this policy.

Only as long as it serves a purpose, except the list that keeps you from hearing from us.

We keep prospect information while it remains useful and remove records that have gone out of date. Records about clients are kept for as long as the work and our legal and accounting duties require. Entries on the do-not-contact list are kept for as long as we contact businesses.

Reasonable care, without pretending any system is perfect.

Access to personal information is limited to those who need it, and we use reasonable safeguards to protect it. No method of storage or transmission is completely secure, so we cannot promise absolute security.

XYour rights and how to use them

Ask what we hold, have it fixed, or have it removed.

You may ask us what information we hold about you and where it came from, ask us to correct it, or ask us to delete it. If you ask for deletion, we still keep the do-not-contact entry, because that is what keeps you off our lists.

Depending on the state you live in, the law may give you further rights, such as the right to know, correct or delete information and to opt out of its sale or sharing. We do not sell or share personal information in that sense. Using any of these rights will not change how we treat you.

We may ask you to confirm the email address we contacted, so that we act for the right person. We respond within the time allowed by applicable law. An authorized agent may make a request on your behalf.
